About the role
We are seeking a highly motivated and experienced Planning Manager, who will have functional responsibility for the team of planners located in various hubs across Italy, leading them in adopting standardized procedures and driving continuous improvement in the project planning process. Through close collaboration with your local planner teams, your primary objective will be to optimize efficiency, maximize productivity, and ensure timely project delivery.
The role also ensures that data quality is upheld in our systems for the installation projects. Trough collaboration and prioritizing of other functions in the hub, ensure overall hub performance and satisfied customers.
You will work closely with cross-functional teams, including service operations, sales, and supply chain, to drive effective planning strategies and processes that align with company goals and objectives. The Planning Manager may be required to assume all roles within their line of responsibility, as necessitated by resource availability, customer demand, or the requirements of the business.
Key responsabilities

Process Optimization & Standardization: Analyze workflows and identify opportunities to enhance efficiency and effectiveness in the planning process. Develop, document, and implement standardized procedures for project planning;

Training and Alignment: Ensure all planners are well-trained and fully understand the procedures to follow. Work with Hub Managers to ensure they are also aligned with these processes and take co-ownership for their implementation by their planners;

Coordinate the local planning teams, providing guidance, mentorship, and support to ensure high performance and adherence to the schedules and the Aira Operating Model;

Tool Management: Oversee the use of CRM systems and support local hubs by providing tools and dashboards to ensure reporting on the progress and status of ongoing projects;

Performance Management: Set performance objectives for planners, monitor KPIs, and provide regular feedback to foster continuous improvement;

Collaborate with cross functional teams (Service Operations, Sales) to assess logistical and capacity feasibility, evaluate requirements, and determine realistic timelines for installation completion;

Issue Escalation: act as a point of escalation for complex planning issues, demonstrating exceptional problem solving skills and finding prompt solutions;
- Team building: Partecipate in hiring, development, performance management, and day-to-day management and administration of your team.
About you
- Bachelor’s degree in Engineering, Economics, Management, or a related field.
- 2-3 years of experience in coordination or operational management roles within fast-paced and dynamic environments, preferably in a start-up setting.
- Advanced knowledge of CRM systems (HubSpot preferred) and proficient in Microsoft Excel.
- Fluent in English, both written and spoken.
- Strong leadership and communication skills with a collaborative and results-oriented approach.
- Proven experience in setting and managing KPIs and performance management.
- Demonstrated problem-solving skills, with the ability to handle complex issues effectively and efficiently.
- Ability to thrive in a dynamic environment and adapt quickly to business priorities.
